User Roles in Activator

These roles has been introduced in Activator v2.1.1.

There are two key roles you can have as an Activator user, Content Editor and Content Designer. Each role is designed to make sure that the right features and functionality are available to you depending on your responsibilities in the content lifecycle.

Activator provides two application views for working with your content, the Content Editor and the Content Designer. Access to the Content Designer is limited by your Role.

Note that these are the default permissions for Activator.

Your corporate environment may have customised the permission model, and Veeva Vault Promomats can also control your ability to View, Edit or Delete specific documents based on their lifecycle state or your active user group membership.

  • FULL ACCESS

    • (tick) This allows the user to create new instances of this content type, use them in content, update with new settings, and to delete them.

  • CAN USE IN CONTENT

    • (tick) This allows the user to see these items, and add them to a content piece. Once added to a document, their settings & content may be settable.

    • 🚫 The user may not change the original version or delete the original.

  • USE AND MODIFY

    • (tick) This allows the user to see these items, and add them to a content piece. Once added their settings & content are settable. The user may update the original version.

    • 🚫 The user is not allowed to delete the original.

Activator User Roles

Veeva Promomats controls your permissions to view, edit and modify content at all times, as well as which Activator Roles are assigned to your profile.

Content Editor

Most Activator users will have the Content Editor role, which means they will have access to the Content Editor UI for Slides, Briefs and Emails.

A Content Editor is someone whose tasks are focused on

  • Using existing Templates and Layouts to create final pieces of content for use in the field.

  • Using Modular Content when creating new content pieces

  • Import Images and other Media from Promomats

  • Preview and Create PDFs for MLR review

  • Create new Global material using existing Templates and Layouts

  • Localize or adapt Global material for a market using existing Templates and Layouts

Users not assigned to any specific role fallback to the Content Editor role in Activator

Content Designer

Content Designers have all of the features of a Content Editor, but also have the ability to create new Templates, Layouts and work with advanced design and interactivity features to create content and Design Systems at a Brand or Company level.

They work with detailed styling and layout features that let them set and control how Templates work in responsive layouts and ensure they align to Brand identities and work well with Modular Content.

A Content Designer is someone who:

  • May be responsible for the creation and update of Design Systems used by Brands

  • Creates new Templates for Slides, Briefs and Emails

  • Creates new Layouts for Slides, Briefs and Emails

  • Design special interactions and custom content for Brands

Brand Designer

Besides the two key roles, there is a Brand Designer.

A Brand Designer is someone who:

  • Is part of the team with ownership of the overall Design System, and ensures it is ready for Agencies, Users and Content Factory partners to use as a starting point for new projects.

  • Is responsible for :

    • The look and feel of all Layouts, Templates and Slide Fragments across all channels.

    • The configuration of the editable fields in Layouts

    • The default content used in Layouts and Templates

    • Updating the Design system to new versions and testing new components or elements that may be imported from a Master design system

Brand Designers have all the features of Content Editors and Content Designer, but also have the ability to

  • Update all visual styling settings for all content channels in a Design System

    • Define the Font styles available to Designers

    • Define the Brand Colors and Color Groups used in the Design System

    • Control the color picker mode available to users

  • Manage Slide Fragments that can be shared across Slides

  • Manage Menus that can be used in projects.
