How you access a document in Activator depends on whether it has been published to a DAM (Digital Asset Management system) and whether you have accessed it before.
If the document has NOT been published
-
The document remains a working draft in Activator
-
It is available to users who have the appropriate permissions and profile access
-
You can open, review, and edit it directly in Activator
Use this when collaborating on drafts or making early changes
If the document HAS been published to a DAM
First-time access (you have never opened the document before)
-
The document exists as a controlled asset in the DAM
-
It will not appear automatically in your Activator workspace
-
You must import it from the DAM into Activator for it to become part of your document list
Steps:
-
Go to your DAM system
-
Locate the document
-
Import it into Activator (AC3)
-
The document will now appear in your Activator workspace for review or editing
If you have already accessed the document before
-
The document may already be visible in your Activator workspace
Key takeaway
-
Unpublished = available directly in Activator (based on permissions)
-
Published = managed in DAM
-
First-time access → Import required
-
Already accessed → May already be available in Activator
-
This workflow ensures that all users work from the correct, most up-to-date version of the document while keeping content centrally managed in the DAM.
